Notes of OxVox meeting on Monday 3 March 2008

1. Chairman’s monthly statement:

This innovation commenced on 3 March and is scheduled to appear on the Club’s web-site during the first week of each month. The first one had already resulted in a number of negative responses on TiU.

The committee’s view was that the first statement had little content and, in any case, should not replace any dialogue with the Supporters’ Trust. It was disappointing that time was found to initiate a monthly message to supporters but no time had yet been found to set a date to meet the Trust to discuss commercially viable ideas for the Club to take up.

The committee was aware that it had a duty to Trust members to represent their views and concerns to the Club and it will make every effort to carry out that task and obtain a positive response from the Club.

2. Membership report:

There were 322 members including 14 who had not yet renewed. The non-renewers will be deleted from current records at the end of March. In future years, all non-renewers will cease to be counted as members 3 months after the due date.

The Trust now has the Club’s permission to hand out leaflets on 8 March in its attempt to sign up more members. Efforts will now be made to find sufficient members to assist the committee to ensure that all home areas of the ground are covered by both leaflet hand-out person(s) and a clip-board person to follow-up interest and sign-up new members.

The Club asked the Trust to try and be pro-active and avoid handing leaflets to people clearly not interested in applying for membership. It was concerned that leaflets would be carelessly thrown away and the Club later invoiced for excessive cleaning time by the stadium company.

3. Annual General Meeting:

This was now fixed for Saturday 12 April 2008 at 1.00pm. Detailed letters advertising the event will be sent out by 12 March. The closing date for nominations for the Committee will be 31 March.

Aries and Co. have been appointed as Independent Examiners of the Trust’s accounts.
