Minutes of OxVox Board meeting held on Thursday 5 October 2006
Present: Trevor Lambert, Neil Carter, Ray Whittaker and Chris Davis.
Apologies: were received from Martin Brodetsky, Tim Rosser and Graham Hilsdon.
Matters arising:
a) The Trust’s share certificate was back with the Club and ready for posting to us or to pick up in person. Letters were sent to 22 shareholders, selected at random but holding a minimum of 50 shares each, on 28 September asking them to consider donating or offering shares to the Trust.
b) The matchday desk and notice board could prove to be successful as it gives people a focal point for the Trust and the opportunity to try and gather new members. Trevor has prepared a flyer to display and hand out. Ray will now be away for 3 home league games and up to 2 home cup games. Therefore, help will need to be shared between committee members, 2 per match, from 1.45pm on the days concerned. (sec note: Trevor and I will do this on 14 October.) Also, Trevor will pick up membership correspondence in Ray’s absence.
c) The Matt Gadsby collection raised over £1100 on 30 September and a massive thank you is necessary to supporters attending last Saturday’s game and to the collectors. The Club has expressed its own thanks to supporters of both clubs and to us.
Membership renewals:
32 are outstanding and will be individually followed-up. Trevor will provide contact details. All of the committee will be involved in this exercise as well as continually trying to obtain new members.
Treasurer’s report:
Bank balances totalled £5222 after recent heavier than usual expenditure on a desk, chairs, notice board and banner.
Sponsorship/fundraising:
The Club does not require the £1250 plus VAT until the end of the season. The sponsorship contract allows us a ¼ page advert in the match day programme. This task is to be designed by Ian Nixon ( who also designed the Trust’s new logo.) The auction for the medal notice had been displayed in the last 2 programmes. The leading bid was £150 (sec note: this had now increased to £389 as a result of an e- mail to auction@oxvox.org.uk on 7 October. Wow!)
Photographs for the calendar were to be chosen by Trevor and Neil from a big selection provided by Steve Daniels. The calendar will be A3 size. Printing will be sought from a company such as Abbey Press.
AGM:
will be arranged for Thursday 11 January 2007 at the Town Hall. The next 2 monthly meetings will be on 13 November and 11 December (second Mondays in month) with a special meeting on Saturday 25 November at lunchtime for those members who may wish to see us pre-match.
Member events:
A pub sports evening was deferred until February 2007.
A table football competition idea was resurrected and to be considered next meeting (sec note: Tony Craft has a machine and is amenable to it being hired out at an advantageous rate if the profits go towards the youth team sponsorship. This was established on 6 October)
Any other business:
A newsletter needs to be produced at the end of October.
Subjects to include sponsorship of the under 9s, calendar, auction, Gadsby, shareholding, season assessment so far, Supporters Direct AGM, the Trust’s forthcoming AGM and the obligatory quiz. Volunteers are required to write the articles by 22 October or to write about another appropriate subject.
Ray will contact Templar’s Square Shopping Centre to agree a pre Christmas date for us to advertise the Trust, sell calendars and, with agreement, sell Club shop merchandise.
