Minutes of OxVox Board meeting on Monday 11 September 2006
Present: Trevor Lambert, Neil Carter, Ray Whittaker, Graham Hilsdon and Chris Davis.
Apologies were received from Martin Brodetsky and Tim Rosser.
Matters arising:
The anonymous donor of the Ray Graydon 1984 Championship medal has turned down our offer of life membership. We will encourage bids for the medal with a reserve price of £200. Chris will approach Chris Williams with a view to advertising a running auction at a series of home matches both in the match programme and on the pitch.
We have now received 3 chairs, a table and a folding notice board at a cost of £247.77. Ray is to agree a storage area with the Club.
A further attempt will be made to contact small shareholders with a view to purchasing additional shares. A sub-committee will meet on 21 September to ensure progress is made.
Report on Members meeting
This was held on 4 September. The minutes are currently being finalised and will shortly be posted to our web-site. A total of 27 members turned up which was disappointing but the content was worthwhile. The Club's view will be sought at our next meeting with it. A different venue in that part of East Oxford will be considered for the next one.
Membership renewals
have been received daily but there remains 48 members whose membership will expire at the end of September 2006. This will be kept under review. Those still outstanding around 25 September will be reminded about the Trust's excellent offer of 3 years for the price of 2 in an effort to retain existing members.
Growth of Trust
An increase in the number of active members is required. A group of names was considered. Each will be invited to meet the committee in the Exhibition Bar.
Sponsorship and fundraising
Sponsorship of a youth team (excluding kit) at £1250 plus VAT will go ahead. The cost will be met as far as possible by fundraising. A 2007 calendar will be produced possibly to contain photographs of Merry and Smith. Steve Daniels will again be approached for his assistance. The intention is to get the calendars available for sale earlier than the corresponding time last year.
Date of next meetings
Next month's meeting will be advanced from Monday 9 October to Thursday 5 October. The date for following month's meeting will remain as Monday 13 November. The AGM has been provisionally booked for Monday 11 December.
Any other business
A letter has today been sent to Cambridgeshire Police protesting at their request, subsequently upheld, to advance the fixture at Cambridge United to the Friday evening.
Crawley Town Supporters Trust have contacted us about a demonstration they are organising for 18 September and seeking our support. This will be finalised by the weekend but we have been informed that an acceptable buyer has been found and a deal to buy Crawley Town may be imminent. If so, demonstrations may need to be modified or cancelled.
Devena Rae has come up with ideas for childrens fun days from approximately 14 October. She will seek the Club's views and keep us informed.
Dean Temple has re-considered his position as a co-optee representing the Exiles due to pressure of work. The Exiles have been informed of his decision and will look for another candidate.
