Notes of OxVox Executive Board meeting at Quarry Gate on Monday 8 May 2006  

Present:  Trevor Lambert, Neil Carter, Ray Whittaker, Stan Taylor and Chris Davis.

            Ross Clark was also in attendance by invitation. 

Apologies: were received from Martin Brodetsky, Tim Rosser, Graham Hilsdon and Paul Lowe. 

Matters Arising: A reminder will be sent to the CE at Oxford City Council requesting a reply to our 27 March letter about ownership of land and planning conditions at Minchery Farm.

A letter of thanks is to be sent to Andrew Smith, MP, for his pleasant comments about the takeover at the Club and its supporters just prior to our last Open Meeting. Secretary to deal with both issues. 

OxVox agreed to sponsor a one-off 6-a-side tournament on a Summer Sunday. Ross will obtain costs for hire of a council ground, public liability insurance and other ancillary equipment for the Board's consideration. Ross will act as competition administrator and will require on the day assistance from us. This could prove to be a profitable member recruitment exercise. 

A regular 6-a-side team will be sponsored by us from September and Ross will obtain details of costs and tournament details. 

Newsletter: To be issued by the end of the forthcoming Bank Holiday weekend. Articles to include an editorial, copy of accounts, a resume of Conference grounds, notes from a Club meeting, the 6-a-side competition. Other articles will be required from the rest of the Board. 

Rebranding: To include a new logo is to be considered by all elected members and proposals put to a members' meeting on a date to be arranged in September 2006. A relaunch could also attract new members. Ray is planning to write to all lapsed members inviting them to rejoin now the climate has/is changed/changing, but will await news from our next meeting with the Club for suitable letter content. 

Club meeting: The agenda will be submitted to the Club chairman this week and will include 2 main items. They will be:

1. Financial plans for next season to cover, as examples, forecast income and expenditure, ticket pricing policy, stadium and conference centre acquisition, Reserve/Youth team security, any increased budgetary restraints and buses.
2. Club/OxVox partnership to include possible relocation of the shop, a matchday supporters' club, a permanent “office” for us and an offer to help sell shop stock in return for continued and enhanced supporter consultation. Additionally, we will raise junior pre-match fun days with the Club following a request from a member who sees this as a way of increasing the number of junior/parent supporters.

The Board was anxious to have an input into ticket prices and details of prices from the larger and stronger Conference clubs will be obtained. There was a strong view that families should be encouraged by offering combined adult/child tickets at a special rate.
