Notes of OxVox Executive Board meeting on Thursday 13 April 2006

Present: Trevor Lambert, Neil Carter, Ray Whittaker and Chris Davis

Apologies: were received from Graham Hilsdon, Martin Brodetsky, Stan Taylor and Tim Rosser.

Matters Arising:

a) The Open Meeting was considered worthwhile but expensive for the Trust. Nevertheless, it gave members (and non-members in this case) an opportunity to comment on the Trust's activities.
b) A reply had not yet been received from the City Council-nor any comment from the 4 Party Leaders or Conservative Agent- in response to our letter of 27 March about land ownership and planning conditions at Minchery Farm. We had been unofficially informed that our letter had reached its destination. We will pursue answers after 1May.
c) Ross Clarke is to be formally approached about selling Trust memberships to supporters in the Oxford Mail stand and also about running a 5/6 a-side OxVox football team.

Newsletter: A formal newsletter will be deferred until the end of the season but newsworthy items such as the OxVox AGM and committee make up, report of the Open Meeting, first meeting with Merry/Thomas, the received statement from Andrew Smith MP and ideas for growing the Trust have been prepared. This will be e-mailed to members over the Easter weekend and posted to those without e-mail facility by 19 April.

Co-opted members: E-mail correspondence between Board members commenced on 13/04/06 concerning a workable policy on the subject of co-optees. Trevor outlined a policy. The rules give us scope to co-opt 6 people to take the numbers on the Board up to a maximum of 15.

Any other business: A request to refund life membership a second time to a member was refused with caution. Neil will reply, pointing out that refunds will only be made on production of medical certificates in the case of illness and/or proven financial hardship, and both at the discretion of the Board.
